The Student Affairs Division is one of the important divisions at the institute as it handles all matters related to students from the moment they enter the institute until their graduation. Due to its direct connection with the Assistant Dean for Student Affairs, it responds to all incoming letters and issues all orders related to students (such as transfers, nomination adjustments, failures, postponements, cancellations, and others). The division also verifies the documents of the students admitted to the institute, as well as printing and managing the incoming and outgoing correspondence related to it, as the division has its own printing and dispatching system.
Registration Unit
1- Completing the registration of newly admitted students in our institute for all disciplines.
2- Providing continuing students with confirmation letters to all universities, schools, government departments, and institutions.
3- Issuing orders for cancellation of registration, failure, and postponement for the students concerned.
4- Issuing orders for canceling the acceptance of the students concerned.
5- Providing relevant authorities with the academic records of students whose registration has been canceled, failed, or postponed.
6- Issuing administrative orders for student transfers between institutes and different departments after completing the electronic process.
7- Issuing administrative orders for modifying the nomination of first-year students.
8- Responding to all incoming letters from the university, ministry, and other bodies regarding students. Completing the document verification for all students at our institute through the ministry’s designated electronic portal.
9- Issuing administrative orders for students withdrawing from the program.
10- Completing the electronic application process for students who are graduates of vocational studies.
11- Issuing administrative orders for the return of students whose registration has been canceled.
12- Issuing administrative orders for students who have lost their IDs.
13- Issuing administrative orders for student disciplinary committees.
Issuing administrative orders for re-registration of students who did not receive acceptance or did not register previously.
14- Opening new records for students based on the departments and specializations they were accepted into.
15- Providing the university and the ministry with the requested statistics.
16- Completing the issuance of certificate verification letters for IDs and official letters issued by the Registration Unit.
17- Issuing administrative orders for canceling the acceptance of students for various reasons.
18- Entering students' results and summer training results into the files of all students after completing the final exam results provided by all academic departments at the end of the academic year.
19- Transferring the files of recently graduated students to the Alumni Unit.
20- Providing students with electronic letters to the Retirement Directorate confirming their continued attendance.
Documents and Certificates Unit
1- Receiving the files of recently graduated students from the Registration Unit, organizing them, and entering them into the graduate records according to departments and specializations.
2- Electronic archiving.
3- Responding to issuance verification requests and recording them in the issuance verification log.
4- Responding to inquiries from the university.
5- Providing the university and the Academic Performance Unit with the required statistics.
6- Completing the university graduation orders for the first round for all graduates from scientific departments.
7- Completing the university graduation orders for the second round and both rounds (unified) for all graduates from scientific departments.
8- Completing the university order for the top 10% of graduates from scientific departments.
9- Providing the university with data regarding the social status and the mother’s name for all graduates from scientific departments.
10- Providing the top graduates with the codes for the Federal Service Council.
11- Providing the top graduates with the codes for applying to Iraqi universities.
12- Writing the names of graduates from all scientific departments in the records.
13- Providing graduates with certificates and documents (regular, graded, and translated) and generating electronic issuance verification using a QR code.
14- Completing the academic records and status reports for graduates and responding to all letters issued by the university, ministry, or other entities regarding graduate students.
15- Receiving the graduate's ID card from the departments, verifying it, and saving it in the graduate's file (in both Arabic and English).
16- Verifying the graduate students' files and saving their university orders in their files.
17- Storing the documents and letters for each student in their respective files.
18- Printing letters, orders, and responses related to the graduates.
